Description: 

BHA is hiring a full-time operations coordinator who will be responsible for assisting with chapter, finance, and other operational needs of the organization. The operations coordinator will be an integral part of the team as the liaison between the BHA state chapters and the headquarters operations department. They will be the lead to assist chapters with all banking, events, insurance and any additional finance and operational needs.   

 

The ideal candidate must be able to work with little supervision and be flexible and organized in a fast-paced work environment. This position requires the ability to exercise good judgment, make responsible decisions, analyze problems, adhere to standards of confidentiality, have excellent customer service skills and communicate effectively. The successful candidate will adhere to BHA’s mission and philosophy.   

 

Primary Responsibilities:  

 

  • Chapter operations support 
  • Posting chapter events to multiple online media platforms.   
  • Coordinating the proper compliance forms for insurance, lobbying & volunteer hours, raffle, and sales tax licenses for chapters.  
  • Reconcile chapter events and track processing of event information and finances. 
  • Process quarterly chapter invoices, ROI of chapter events and other chapter information as needed. 
  • Develop and facilitate chapter membership opportunities. 
  • Provide day to day financial support and communication to chapter treasurer and event leads; organize and lead quarterly Chapter Treasurer calls.  
  • Other chapter support tasks as assigned by a director. 

Finance 

  • Provide accounting and clerical support to the director of finance. 
  • Prepare and maintain accounting documents and records. 
  • Reconcile deposits received from third-party payment platforms in a timely manner.  
  • Prepare bank deposits, credit card statements and general ledger postings.  
  • Assist with accounts payable. 
  • Track chapter bank activity and ensure appropriate support for deposits and expenses is provided. 
  • Enter chapter financial transactions in accounting software.  
  • Assist chapters with all banking and point-of-sale platform needs. 

 

Minimum Qualifications: 

  • 2-5 years of work experience in an administrative office setting; preferred experience in finance and operations.  
  • Ability to work with a diverse team of staff, chapter leaders and partners across North America and have strong customer service skills. 
  • Strong attention to detail, highly organized, decisive and a quick problem solver. 
  • Must conduct work with integrity, good humor, and focus on developing partnerships, building trust, and strengthening professional relationships. 
  • Skilled user of Microsoft Office Applications, including Excel. 
  • Preferably a hunter and/or angler with a willingness to work flexible hours. 
  • Capability to sit at a desk for extended periods working on computer. Lift, carry, push, pull or otherwise move objects weighing up to 25 pounds. 
  • Must have a valid driver’s license.
