Organizational Profile

Backcountry Hunters & Anglers (BHA) is a North American nonprofit organization with chapters throughout Canada and the United States. BHA seeks to ensure North America’s outdoor heritage of hunting and fishing in a natural setting through education and work on behalf of our wild public lands, waters, and wildlife.

BHA is a grassroots-driven organization that believes conservation happens on two fronts: by speaking up for public lands and waters and by showing up to care for them firsthand. Through policy advocacy, grassroots organizing, and boots-on-the-ground habitat stewardship, BHA works to ensure healthy habitats and abundant fish and wildlife populations for generations to come.
 


Primary Objective

Support the efficient and effective operation of BHA by providing responsive administrative, membership, customer service, and CRM support. Maintain accurate organizational and constituent records, help ensure a positive experience for members and supporters, and provide reliable day-to-day operational support across departments.
 


Position Overview

The Operations Associate supports the day-to-day operations of BHA’s headquarters and serves as a primary point of contact for members, supporters, and staff. This role provides office management and administrative assistance, membership and customer service support, CRM and database assistance, and event support.

The Operations Associate plays an important role in ensuring members receive timely assistance; organizational records remain accurate and current, and BHA’s administrative operations run smoothly.
 


Office Management & Administrative Support

  • Oversee and support day-to-day administrative needs of the BHA office, helping ensure smooth and efficient operations.

  • Serve as a primary point of contact for incoming phone calls, visitors, and general inquiries.

  • Monitor and respond to general organizational and customer service email inboxes, routing questions when additional staff support is needed.

  • Receive, sort, and distribute incoming mail and deliveries, and coordinate outgoing mail.

  • Maintain accurate and organized administrative records, files, forms, and other organizational documents.

  • Manage office supplies and coordinate purchases as needed.

  • Coordinate with vendors and service providers as needed.

  • Assist with systems including account setup and basic technology onboarding for new employees as needed and serve as a liaison between staff and BHA’s IT contractor for issues requiring additional technical support.

  • Provide administrative support, such as scheduling meetings, sending emails, and managing select calendars, across departments as needed.


Membership & Customer Service

  • Serve as a primary customer service contact for BHA members and supporters by phone and email.

  • Assist members with account setup, login issues, password or account resets, membership questions, payment questions, cancellations, renewals, and other account-related needs.

  • Upon request, work directly with members to update contact information, membership details, and account records.

  • Respond to membership-related inquiries in a timely, professional, and helpful manner.

  • Identify recurring member questions or issues and communicate trends to the appropriate staff.

  • Redirect questions related to organizational policy, chapter and member relations, or other sensitive matters to the appropriate manager

  • At the direction of the Membership & Marketing Senior Manager, support membership programs, incentives, and other membership-related initiatives. Assist with select membership and development-related fulfillment as assigned.

  • Manage Life Member fulfillment, reporting, and payment plans. Assist with Life Member gift personalization, ordering, inventory, and marketing as needed.


CRM & Database Support

  • Upon request, enter, update, and maintain membership, supporter, donation, event, and other constituent information within BHA’s CRM.

  • Enter membership payments and donations into the appropriate database or system.

  • Maintain accurate and detailed records of transactions and updates.

  • Review records for completeness and accuracy, and help resolve duplicate, missing, or outdated information.

  • Support staff with CRM updates, data entry, exports, and other database needs.

  • Help ensure membership, supporter, and donor records remain accurate, current, and consistent across systems.


Events & Organizational Support

  • In conjunction with event staff, provide administrative and logistical support for select events as needed.

  • Assist with select event registrations, attendee or supporter data, spreadsheets, membership entries, and other event-related administrative needs.

  • Support headquarters-led campaigns, sweepstakes, and similar initiatives by assisting with supporter data, winner selection, required documentation, prize fulfilment, and membership-related processing.

  • Support follow-up and data entry for select events to ensure constituent and membership records are updated accurately post-event.

  • At the direction of the Membership & Marketing Senior Manager, assist with additional event projects and organizational initiatives.


Additional Responsibilities

  • Maintain a high level of organization, accuracy, professionalism, and customer service.

  • Work collaboratively across departments to help resolve operational, membership, and administrative needs.

  • Identify opportunities to improve internal processes and the member and donor experience.

  • Perform other duties and administrative support as assigned.


Preferred Experience

  • Customer service experience, including professional communication by phone and email.

  • Experience with CRM and database systems, including data entry, reporting, exports, and record management.

  • Experience with fundraising and event management platforms; Eventgroove experience preferred.

  • Proficiency with Microsoft 365, including Outlook, Teams, Word, and Excel.

  • Experience with email marketing systems; ActiveCampaign preferred.

  • Basic design experience using Canva, Adobe, or similar design tools.


BHA is headquartered in Missoula, Montana. We offer a stimulating and fun work environment, health insurance and 401K plan match, generous leave package including annual time off for backcountry hunting/fishing, and discounts with BHA corporate partners.

Starting Salary & Term: $45,000 annually salary.
